Field service for well pump contractors
Wellhead runs a well pump and pressure tank business from the truck and the office. Every reading, every pump pulled or set, every water sample and the clock the state runs on it, kept on the record of the well itself. Built in southern Wisconsin, with NR 812 written into it.
Why it exists
Generic field-service software makes the job the record. Well software is built for drilling new ones. Neither serves the contractor who services existing wells, so a well's history lives in a shoebox of carbon copies and the memory of whoever was there last time.
A pump drawing 8.4 A today that drew 7.8 A a year ago is working harder than it used to. Every reading stays on the equipment that produced it, on the visit it came from, so the next technician sees the series and not a single number.
What is in this hole, who set it, and is it under warranty. Answered at the wellhead, not by phoning the office. A pulled pump moves to history instead of vanishing, and a pump you found is never recorded as one you fitted.
"Quoted $2,800, billed $4,400" is the complaint every well contractor hears. Estimate, change order, invoice: each one signed or verbally approved and recorded as which. Billing past what the customer agreed to is hard by design.
In the truck
Built for a farm basement with no LTE. Every entry is saved on the phone first and sent when there is signal, and the Wisconsin rules run on the device, so the technician knows which samples the state expects before leaving the site.
Rural Wisconsin does not have coverage in the basement, the pit or the milkhouse. Wellhead Field never waits for a server to say yes.
In the office
The office sees what the technician wrote and the technician sees what the office knows. It runs in any browser, and a technician can work a whole job from it when the phone is in the truck.
Waiting work is grouped by where it is. "Plan a day here" books an area's calls onto a truck in the shortest loop from the yard, most urgent first, and what does not fit stays waiting. Road minutes come from a router when one is configured; otherwise a straight-line allowance that says it is one.
What a well's own readings say across visits, ranked, with the rest of the visit's readings beside it and a plain statement of what could not be compared. A trend is evidence, never a diagnosis, and the page says so: rising current can be worn impellers, a failing motor, a dropping water table, or the supply voltage.
48 hours to the lab. 48 hours to notify the owner of anything over a standard. 10 days to put the laboratory report in their hands. A sample leaves this list when all three are done, and what went out, to whom and how is kept on Filings. A phone call can satisfy the notification and cannot satisfy the report, and the page knows the difference.
Every physical fact about a well is writable at last, from the office and from the phone. A well matched from a state filing is marked "nobody has confirmed this is the well" until someone standing at the wellhead does, because a filing at the same street number is a good guess and not a fact. An empty box means nobody has measured it, which is a different answer from zero.
Estimate, change order, invoice. Money in whole cents, tax decided per line under Pub. 207, and a printable contract carrying the statutory notices.
A customer holds a role on a property: owner, bill-to, manager, tenant, site contact. One person can hold several sites; a rental can have three parties.
A link the customer opens on their own phone to see invoices and water tests. It expires, it can be cut off, and it shows one customer only.
Composed on the technician's own phone, from their own number, only for a customer who has said yes. No third-party messaging service in the middle.

Wisconsin
A licensed pump installer carries duties the DNR tracks against the licence. Paper cannot run a clock. Wellhead encodes the rules as checks and deadlines, cites the section it is applying, and refuses to guess where the code does not say.
Judged against the table in force the year the well was built, or today's, whichever is less restrictive. A 1962 farm well is not failed against a 2024 distance. Five answers, never a yes or no.
Which tests an entry requires, coliform, nitrate, arsenic. 48 hours to a certified lab, 48 hours to notify, 10 days for the report, 30 days to resample a rejected bottle.
Table D dose by product strength, the 100 mg/L floor, the contact time started from the phone. The two bleach columns are kept apart, because the 8% rate from a 5% jug is not disinfection.
Casing stick-up, the vermin-proof cap, wiring in conduit. Findings are three-state: "nobody has looked" is never rendered as "no problem".
Credits by 31 December, renewal by 1 January, and the two never merged. The supervising installer's standing is the company's.
Decided per line. A pump set in a well is a real-property improvement and the customer is charged no tax on it; a repair part is personal property and is.
The right to cancel and the construction-lien notice on every estimate, verbatim from the statute. Wellhead will not present a contract without them.
Screened at the estimate, before the work, because work done before DNR approval is not reimbursed. It warns above the total and does not block emergency work.
Wellhead reads Wisconsin's public records for every site, caches them, and says plainly when a lookup could not be made rather than showing an empty box that looks like an answer.
Trust
Software that looks authoritative and is wrong is worse than the paper it replaced. These are the rules Wellhead is built on.
Found, carried over from an earlier answer, or could not check. A timeout against the state's casing service never renders as "no requirement here".
A straight-line distance says it is one. A depth from a DNR record is labelled as one and cannot overwrite a technician's tape.
Business records are protected at the database, and history is kept by the database itself, not by application code that can forget. Any row can be read back as it stood on a date.
Each enrolled phone holds its own key and signs the exact bytes it sends. A revoked phone is told so, stops, and keeps its unsent work for a person to look at.
No third-party SDK phones home from the app or the office. The product carries zero npm packages, on purpose: a smaller supply chain is a smaller attack surface.
Runs in a locked-down tenant with backups every four hours that are verified by restoring them. Consent is recorded as what it was: a verbal yes never becomes a signature.
